Understanding Your Out-of-Network Benefits and Superbill

Celeration ABA is a private-pay provider. That means we do not bill insurance directly. What it does not mean is that insurance plays no role at all in some cases. Many families are able to recover a meaningful portion of their therapy costs through their plan's out-of-network benefits, using a document called a superbill that we provide weekly.

All therapy at Celeration ABA is delivered directly by a Board Certified Behavior Analyst, not an RBT, or other unlicensed staff member. This page explains how the superbill and reimbursement process works, what questions to ask your insurer before you start, and what to realistically expect.

What is a
Superbill?

A superbill is a detailed receipt issued by a healthcare provider that contains everything your insurance company needs to process a reimbursement claim. Unlike a standard receipt, it includes the clinical codes, provider credentials, diagnosis information, and session details that insurers require.

We provide you with a weekly superbill that you can submit directly to your insurance plan. What happens next depends on your specific plan's out-of-network benefits, your deductible, and your reimbursement rate.

Why BCBA-Direct Matters for Your Superbill

Because every session is delivered by a BCBA rather than a Registered Behavior Technician (RBT) under supervision, your superbill reflects services rendered by the highest credentialed provider in the field. Some insurance plans reimburse differently depending on who actually delivered the session, so when you call your insurer (see below), it's worth confirming that BCBA-delivered, out-of-network ABA therapy is recognized under your plan.

How Out-of-Network Reimbursement Works

Most PPO and some EPO health plans include out-of-network benefits that allow you to see providers who are not in your insurer's network and receive partial reimbursement for those costs. HMO plans typically do not include out-of-network benefits.

The general process works like this:

  • You pay Celeration ABA directly for each session at the time of service

  • We provide you with a superbill documenting the session, diagnosis codes, and provider credentials

  • You submit the superbill to your insurance company, either online, by mail, or through your insurer's app

  • Your insurer applies any outstanding deductible, then reimburses you at their out-of-network rate for the remaining eligible amount

Reimbursement rates, deductibles, and processing timelines vary significantly by plan. Some families have plans with limited out-of-network benefits or high deductibles that reduce the practical value of reimbursement. The only way to know what your plan will cover is to call your insurer directly before you start.

Please note: Celeration ABA cannot guarantee reimbursement, and we do not determine coverage. Whether a claim is reimbursed, the amount reimbursed, and how long the process takes are decided solely by your insurance company based on the terms of your individual plan.

Questions to Ask Your Insurance Plan

Before your first session, we recommend calling the member services number on the back of your insurance card and asking the following:

  • Does my plan include out-of-network benefits for behavioral health or ABA therapy?

  • What is my out-of-network deductible, and how much of it has been met this year?

  • What is my reimbursement rate for out-of-network behavioral health services?

  • Does ABA therapy require prior authorization under my plan, even for out-of-network claims?

  • What CPT codes does my plan recognize for ABA therapy?

  • How do I submit a superbill claim, and what is the typical processing timeline?

  • Does my plan cover ABA therapy provided by an out-of-network BCBA?

Note the name of the representative you speak with and the date of the call. Insurance answers are not always consistent, and having a record of what you were told can matter if a claim is disputed later.

What Celeration ABA Provides

We make the superbill process as straightforward as we can on our end. You receive a weekly superbill that includes:

  • Provider name and BCBA credentials

  • National Provider Identifier (NPI) number

  • Diagnosis code (ICD-10)

  • Procedure codes (CPT codes) for services rendered

  • Date of service, session duration, and amount charged

Because the provider listed on every superbill is a BCBA, families have clear, consistent documentation of who delivered care, which can matter both for reimbursement purposes and for your own records.

Still Have Questions About Cost?

We understand that the financial side of ABA therapy is a real part of the decision for most families. We would rather you have an honest picture of what to expect than a surprise later. During your free consultation, we are glad to walk through how the superbill process works, what questions to ask your plan, and what families in similar situations have typically found when they call their insurer.
